POSITION SUMMARY
Under the supervision of the Planning, Zoning and Construction Resources department managers, serves as administrative assistant. This position assists in performing office functions to ensure efficient day-to-day work flow. The position provides assistance in customer service and assistance to inspection staff.
ESSENTIAL DUTIES
- Acts as the receptionist for the departments.
- Greet and assist public (walk-in customers, answer phone calls, monitor and respond to emails).
- Respond to and/or redirect a variety of inquiries from the public and governmental agencies.
- Research current and archived permits as requested. Schedule inspections for the building department.
- Assist with copying and compiling meeting packets, post notices/minutes/packets, and prepare meeting presentations.
- Creates, organizes and files new/closed permits, copy and scan documents.
- Assist inspectors as needed.
- Update web-calendar.
- Prepare and email bi-monthly reports.
- Assist with processing refunds, receipts and invoices.
- Organize and manage office functions for the department including accepting and processing permit applications, processing zoning action applications.
- Maintain supplies, order supplies, prepare mail for courier; retrieve mail from drop-boxes at office.
- In the absence of the permit processor, process trade permit applications, and maintain permit and contractor registration databases and other office tasks as assigned, as needed.
- Assist in processing department Freedom of Information Act requests, as needed.
- Attain cross training in all other clerical staff positions and stay abreast of any changes in procedure for those positions.
- Other duties as assigned.

EDUCATION
High School diploma or equivalent. EXPERIENCE Minimum two years of clerical experience in a fast-paced office setting involving keystrokes and extensive use of computer applications and file processing.
CERTIFICATIONS/LICENSES REQUIRED
None, although continuing education is encouraged. Ability to obtain a Notary Public appointment.
PHYSICAL DEMANDS
Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer screen and hearing and speech sufficient to communicate in person or over the telephone.
