POSITION SUMMARY:

Performs a variety of complex clerical tasks involved in processing criminal, traffic, civil and probation cases.  Provides information and assistance to law enforcement officers, attorney, defendants and Court patrons.  Deputy District Court Clerks will be required to work in the civil, criminal, traffic, probation or other divisions/areas of the Court as assigned.


ESSENTIAL FUNCTIONS:

  • Duties for this position are concentrated in the Civil division with responsibility for overseeing the General Civil, Landlord Tenant, and Small Claim division of the Court.
  • This includes the supervision and training of staff in the Civil division.  In addition, coordinating mediation, the Civil docket and answering questions for Civil staff.  Civil Liaison to the Court Administrator, Magistrate and Judge when needed.
  • Prepares court dockets, maintain accurate court date calendar, and all other courtroom paperwork as needed to efficiently assist the Judge/Magistrate in the court.
  • Receives tickets, complaints, filings and related documents, opens case files, enters case information into the computer and files case documents. Schedules court proceedings and issues notices to the appropriate parties.  Prepares and distributes a variety of legal documents.
  • Answers the telephone and direct court patrons to the appropriate person for assistance
  • Processes mail and court paperwork, affixing a date stamp to all incoming paperwork.
  • Operates a computer to enter, update, correct and access case information; and to produce computer generated forms.
  • Documents case activity and other pertinent case information on Court documents and in the computer; maintains case histories on each case.
  • Distributes and recalls warrants as authorized.  Maintains records of warrants issued and recalled and ensures appropriate warrant documents have been filed. 
  • Courtroom activities include entering schedule into court video system, recording Civil sessions of court, calling cases scheduled for the civil docket, swearing in court clientele and making arrangements for discovery and other hearings as necessary.
  • Prepares and distributes various daily reports, registers and notices generated by the computer system.
  • Receives, receipts, and records fines, costs, bonds, fees and other monies.  Issues bond refunds, forfeits and/or applies bond monies to pay fines, costs and other assessment, or distribute monies in accordance with Court orders.
  • Cross trained to complete end of day balancing of court receipts and transmit to the County Treasurer.
  • Perform work safely.
  • Attend training and seminars as requested.
  • Assists in other areas of the court as required.

KNOWLEDGE, SKILLS, & ABILITIES

Requires organizational skills, attention to detail with precise computer entry work.  Effective communication skills, able to work independently with minimal supervision, and possess good telephone etiquette.

EDUCATION/EXPERIENCE

High School Diploma or equivalent.  1-2 years’ prior relative experience preferred.

CERTIFICATIONS/LICENSES REQUIRED

Able to apply as a Notary Public.

Must be willing to comply with the Model Code of Conduct for Trial Court Employees.
